Cliffs Pavilion
The Cliffs Pavilion is part of HQ Theatres and first opened in Essex in 1964 as a 500 seat live theatre. Since then, the theatre has expanded to 1600 seats and has been home to a variety of live acts including The Drifters, Oasis and famous stage shows such as ‘High School Musical’ and ‘Singing in the Rain’.
The Cliffs Pavilion has a number of bars including two events bars for private hiring, a foyer bar and a restaurant for its guests to enjoy a range of meals from an affordable and delicious menu using the very best ingredients from local suppliers.
The theatre also offers tailor made packages for group bookings ranging from a meal in the restaurant before or after the show, to a private room or table for special occasions. Refreshments are available to pre-order and group bookings can take advantage of special offers and receive group discounts.
The Reason For Change
The Cliffs Pavilion decided to look for an EPOS system as they previously used cash registers and manual methods for their sales processes which, as the theatre expanded, became increasingly slow and time consuming.
The theatre used IRIS Exchequer to manage its accounting processes, so looked for an EPOS solution that would integrate with Exchequer to increase efficiency. Ideally, they wanted all transactions to be input directly into Exchequer to avoid the need for manual intervention and duplication.
Stock management was also a feature that was high on their priority list as they required the ability to record and manage their stock from a single system, again to avoid duplication and increase the speed of the stock management process.
The Solution
KCPOS was the only EPOS solution considered by The Cliffs Pavilion because of its standard integration with IRIS Exchequer. As they had originally required, KCPOS has been fully and seamlessly integrated with their existing Exchequer accounting solution meaning that all transactions carried out by KCPOS are directly entered into Exchequer with no re-keying required.
A total of nine tills have been implemented throughout the theatre, with three in the events bar, 4 in the foyer bar and 2 in the restaurant. KC Hospitality has also been implemented at The Cliffs Pavilion to cater for the bookings and orders in the bars and restaurant. and interval drinks.
The Cliffs Pavilion have also taken advantage of the portable chip and pin machines available with KCPOS which allows their customers to pay at their table, once the bill has been paid the information is sent to the till and then entered into Exchequer.
Benefits
KC Hospitality has given The Cliffs Pavilion the ability to design a floor layout of their restaurant with varying numbers of seats per table for different bookings and events. This layout is used to manage bookings, giving staff the ability to reserve tables, assign guests and view table statuses, for example if a table is vacant or occupied.
The booking manager within KC Hospitality also allows The Cliffs Pavilion to take telephone bookings, reserve tables for specific times and to allocate customer details to a table such as names and numbers of people.
The stock management feature within KCPOS has made the theatre’s stock processes much more manageable than before. They can now draw out detailed and tailored reports on their stock figures and obtain valuable information which can then be used in revenue analysis.
The Future
The Cliffs Pavilion is part of HQ Theatres which includes six more theatres throughout the UK. KCPOS has been successful within The Cliffs Pavilion from the initial installation and has continued to provide benefits to the theatre since then; because of this HQ Theatres are now looking at the possibility of implementing KCPOS in all of their theatres.
